Adding Contacts to Groups
CallingPost provides several methods for adding contacts to your groups. Choose the method that best suits your needs:
Methods for Adding Contacts:
Add Contacts Manually: Enter contact information directly into the system. This is suitable for adding a small number of contacts.
Upload a File: Import contacts from a spreadsheet file (.csv or .xlsx). This is the most efficient method for adding many contacts at once.
Add from Existing Contacts: Add contacts who are already saved in your CallingPost account to a new group. This allows you to quickly reuse existing contact information.
Add through a Text Keyword: Allow contacts to join your group by texting a specific keyword. This is useful for growing your group organically.
Adding Contacts: Detailed Steps
Add Contacts Manually:
From the main CallingPost dashboard, click the Groups & Contacts tab.
Select the group where you want to add contacts.
Click the Add Contacts button and choose Add Manually.
Enter the contact's information:
First Name: (Required)
Last Name: (Required)
Phone Number: (Required)
Email Address: (Optional)
Click Save to add the contact. Repeat for each contact.
Upload a File:
From the main CallingPost dashboard, click the Groups & Contacts tab.
Select the group where you want to add contacts.
Click the Add Contacts button and choose Upload a File.
Click Choose File and select your .csv or .xlsx file.
Map the columns in your file to the corresponding fields in CallingPost (First Name, Last Name, Phone Number, Email Address - optional).
Click Import Contacts.
Important Notes for File Upload:
File Name: Avoid special characters or spaces in the file name.
File Name Length: Limit the file name to 50 characters or less.
Headers: Include clear header names in the first row of your file (e.g., "FirstName," "LastName," "Phone," "Email").
Duplicates: Clean up duplicate contacts in your file before importing.
Required Fields: Ensure each contact has either a Phone Number or an Email Address.
Add from Existing Contacts:
From the main CallingPost dashboard, click the Groups & Contacts tab.
Select the group where you want to add contacts to.
Click the Add Contacts button and choose Add from Existing Contacts.
Select the contacts you want to add from the list of your existing contacts.
Click Add Selected Contacts.
Important Notes for Existing Contacts:
If a contact is already in the group, their name will not appear in the list.
Changes to contacts added this way will affect them across all groups they belong to. This includes:
Editing: Updating information (name, phone, email) will change it in every group.
Deleting: Removing the contact will delete them from all associated groups.
Marking Inactive: Making a phone number inactive will apply that status across all groups.
Add through a Text Keyword:
From the main CallingPost dashboard, click the Groups & Contacts tab.
Select the group where you want to add contacts to.
Click the Edit Group button.
Locate the Text Keyword section.
Enter a unique keyword that people can text to join your group (e.g., JOINMYGROUP).
Provide this keyword and your CallingPost texting number to those you want to join. They will be automatically added when they text the keyword.
