CallingPost makes it efficient to import a large number of contacts from a spreadsheet file, either in .csv or .xlsx format. Here's a simplified guide to help you through the process:
1. Prepare Your Spreadsheet
Below is an example of how your spreadsheet should be set up.
Format: Ensure your file is saved as either a .xls (older Excel), .xlsx (newer Excel), or .csv (Comma Separated Values) file.
Headers: The first row of your spreadsheet should contain clear and descriptive column headers. These headers will help you map the data to the correct fields in CallingPost (e.g., First Name, Last Name, Phone Number, Email Address).
No Special Characters: Avoid using special characters (commas, dashes, symbols) in your file name.
Clean Up Your Data (Recommended):
Remove Hidden Code: To prevent import errors, consider copying and pasting the visible values into a new, clean spreadsheet.
Eliminate Duplicates: Review your spreadsheet and remove any duplicate contact entries.
Correct Inconsistencies: Ensure consistency in phone number formats (e.g., all with or without dashes) and email addresses.
Pro Tip: Use filters in your spreadsheet software to easily sort and review your data before importing.
2. Import Your Contacts into CallingPost:
Go to Groups & Contacts in your CallingPost account.
Select the specific group you want to add contacts to by clicking on its name.
Click the Add Contacts button within the group.
Choose Upload a File from the dropdown menu.
Click Choose File and select the spreadsheet file containing your contacts.
Click Next.
On the next screen, you will see a preview of your file. Select the column headers from your file that correspond to the CallingPost fields you wish to import (e.g., match your "First Name" column to CallingPost's "First Name" field).
Click Import.
3. Wait for Confirmation:
You will see a green banner notification at the top of the screen when your import process begins. Another green banner will appear once the import is complete. For very large files, progress updates may be displayed.
